Combined Archive & Compliance Solution

The Issue

Unstructured content is growing exponentially!
Gartner states that storage budgets rising 7% vs. IT budgets rising only 2% with Email being the#1 driver of storage growth

This means organizations are not deleting data and they definitely are not managing information. Instead they are saving everything which creates performance issues. Unstructured content is growing and e-mail is probably your #1 concern, but left unchecked it proliferates everywhere (e-mail, Files, PST, NSF, SharePoint, IM). Users send/receive ~17MB per day, backup windows are shrinking.

e-mail is a mission critical application simply because of the way we depend on it. End-users store everything in their inbox, as a result, message stores expand and backing up the e-mail server takes longer. IT Management headaches will also increase as these frontline servers must be maintained but just weren’t designed to cope with the vast amount of data we are storing in it. This is a management nightmare.
90% of all corporate information created today is digital plus end-users spend 60 minutes weekly managing their e-mail

Business Requirements:

A good archiving approach should handle more than just e-mail. You want to be able to capture multiple types of unstructured content (e-mail, files, SharePoint, IM)

A good archive must be able to offload older data from these frontline systems and move it to long term repositories. In the process, it should compress the information and apply single instancing to eliminate redundant copies.

A good archive only addresses risk if the information is properly protected. Even though data has moved off primary, it’s value as retained information has not changed and may have increased. Therefore, you need a data protection system in place to appropriately backup and replicate data for disaster recovery similar to that data when on primary.

A good archive platform needs to help manage the information by applying retention and deletion policies, preserve data when necessary and log all actions for good corporate governance.

A good archive is only valuable if you can leverage the data across your enterprise. For this reason you want to make sure that end users as well as the business (e.g. legal) can search information effectively and transparently.

The Solution:

1 – Enterprise Vault automated archival policies move data from primary storage to NetApp secondary storage, reducing overall costs. The automated policies enforce mailbox quotas without impacting end users. Reducing the e-mail on primary storage also speeds up backup and recovery times and simplifies migrations. Placing the data on high performance NetApp secondary storage means that end users will see no impact when retrieving e-mails from the archive.

2 – Enterprise Vault Discovery Accelerator enables rapid response to legal or regulatory inquiries by searching across multiple end users based on keywords in the e-mail contents, including attachments. NetApp primary and secondary storage enable rapid searches and rapid retrieval from the archives, respectively. NetApp SnapLock ensures that no data can be tampered with, helping to ensure “chain of custody” and helping to prevent “spoilage”.

3 – Enterprise Vault Compliance Accelerator complies with the most stringent regulations with respect to sampling of end user communications (auditing), while NetApp SnapLock complies with the most stringent regulations with respect to the prevention of tampering or deletion of e-mails.
